Automating Your Communications

Understanding Automation Steps

Automation Steps are the building blocks of your workflow. They define the path contacts follow as they move through an Automation and determine what actions, decisions, or delays happen along the way. The Steps available in Transpond are:

Automation StepDescription
EmailSends an email to the contact
DelayWaits until a time or date you have defined has elapsed. If using a past date, this step will be ignored.
WaitWaits for something specific to happen, e.g. a custom field being set or the contact joining a segment.
ConditionUses a rule to split up contacts into separate paths based on them meeting the condition or not
ActionDoes something like add a tag, change the contact status or update a custom field
SplitEvenly splits the contacts into two paths
GoalLooks for a goal, e.g. when they've reached the step or something else has happened, and then ends the Automation, with the ability to rejoin or not.
NotificationSends an email notification to a specific email or emails
ScoreChanges the score of the contact
RedirectRedirects the contact to a previous step in the automation
Integration stepsIf you have any integration enabled e.g. Capsule or Slack, then actions specific to that integration will be available too.

Automation Actions

Automation Actions are the tasks your Automation performs after it has been triggered. These actions allow you to automate communication, update contact data, manage workflows, and respond to customer behaviour automatically. Below is a list of the Actions you can use:

ActionDescription
Add a tagAdds a specific tag to the contact
Remove a tagRemoves a specific tag from the contact
Update a Custom FieldUpdates a custom field on the contact
Add to a GroupAdds the contact to a specific Group
Delete from a GroupRemoves the contact from a specific Group
Unsubscribe from All GroupsRemoves the contact from all Groups its currently in
Change the contact StatusChanges the status e.g. sets it to Active or In-Active etc
Add to the DenylistAdds the contact to the Denylist
Remove from the DenylistRemoves the contact from the Denylist

Automation Goals

Automation Goals are used to mark when a contact has completed an Automation. While Goals are optional, they are important if you want contacts to be able to re-enter the same Automation in the future.

To add a Goal:

  1. Click the + icon where you want to place the Goal in your Automation (this is often at the end of the workflow).
  2. Select Goal.
  3. Enter a name for the Goal.
  4. Choose the Goal type you want to use.

A common Goal type is Reached this Step, which marks the contact as complete when they reach that point in the workflow.

You can then choose what happens next using the Then... setting:

  • End this Automation: the contact exits the workflow and cannot rejoin.
  • End this Automation, but allow contacts to re-join: the contact exits the workflow and can enter it again in the future if they meet the trigger conditions.
  • Enter Another Automation: the contact is automatically moved into a different Automation.
